What Should Be in a Request for Proposal (RFP) for VoIP Product and Services?
RFPs provide customers with an opportunity to review their existing network capabilities, clarify the features and functionality they want from a new phone system, and ensure competitors provide the best products and services for the lowest price.
If you are going to issue an RFP, we recommend it contains the following information:
1. Description of Your Existing Telephone System including information on your network; (see Is Your Network Ready for VoIP?)
2. Description of the general features and functionality you seek from a new system and a telephone system vendor;
3. Request for Background and History of the Telephone System Vendor;
4. Request for at least Three Customer References from the Telephone System Vendor;
5. Request for a Description of the Vendor’s Proposed Hardware and Software solutions;
6. Request for at least one similar Network Design Completed by the Telephone System Vendor;
7. Detailed Break-out of All Costs Associated with the VoIP Implementation including costs associated with expanding the system for new employees and/or new feature sets in the future.
